Shipping and fulfillment
How to Ship Sports Cards Safely After an eBay Sale
A good shipping process protects the card, keeps packaging consistent, and makes it easy to match each order with the correct inventory item and tracking record.
Match the card to the order first
Locate the card using its SKU or storage location rather than relying on memory. Compare the player, set, card number, variation, serial number, grade, and listing photographs with the sold order. This final check prevents the most expensive fulfillment mistake: shipping the wrong card.
Inspect condition before packaging
Review the card under good lighting and confirm that its condition still matches the listing. Check the holder, sleeve, and slab for dust or damage. If anything changed after the listing was created, pause the shipment and resolve it before sending the item.
Protect raw cards in layers
Place the card in an appropriate inner sleeve and a rigid holder. Secure the opening so the card cannot slide out, but avoid placing adhesive directly on the holder where it may be difficult for the buyer to remove. Add support around the holder to reduce bending and impact.
Protect graded cards from impact
Use a fitted sleeve or bag around the slab, then cushion it so the case cannot move freely inside the package. Graded cases are rigid but can still crack or chip when dropped. Use a sturdy mailer or box that matches the card’s value and the shipping service selected.
Handle multi-card orders carefully
Keep cards in the same sequence as the order record and confirm the quantity before sealing the package. Avoid overfilling one holder or placing cards where surfaces can rub together. Separate higher-value cards even when they ship in the same package.
Choose packaging based on risk
The card’s value, thickness, holder, destination, and selected service should guide the packaging. Lightweight options may work for eligible lower-value cards, while higher-value orders usually justify more rigid packaging, tracking, and appropriate insurance. Confirm current carrier and marketplace requirements before shipping.
Record the real shipping cost
Save the label cost, packaging cost, service, tracking number, and shipment date with the order. Comparing the amount charged to the buyer with the actual fulfillment cost reveals whether shipping supports or reduces your profit.
Use a final packing checklist
- Confirm the SKU and exact card.
- Inspect condition and holder.
- Protect against moisture, movement, bending, and impact.
- Verify the buyer’s order and shipping service.
- Seal the package and attach the correct label.
- Save tracking and actual shipping cost.
